A new information and communication tool to improve partnerships and brokerages
As part of the communication activities of PAEPARD, a communication and
information tool has been developed. It facilitates work group and allows the
sharing and dissemination of information. In addition, it references all the
documents produced as part of the project and allows easy consultation of all
these documents. Already used by the management team of the project, its use
will be extended to the ULP, CRF and ARF who need to communicate about their
activities. This tool is copyright-free and may be used after the end of the
project to ensure communication on the PAEPARD platform.
Objective of the workshop
Two representatives from
each ULP, ARF and CRF will be trained to use this tool. They will be
responsible to train others in their work structure and to ensure that material
information relating to the activities of their group is properly entered into
the tool.

This action is planned in the WP-Communicationand advocacy workplan of the Year5 NRI is the leader of this action, helped by CIRAD on logistics
PAEPARD has evolved and there have been changes of emphasis within the project which require a review of the communication and advocacy priorities and needs of the partner organizations. Therefore a workshop has been planned with the aim of developing a draft communication and advocacy strategy for PAEPARD. The objectives, target audience, key messages, and modes of delivery of the strategy will be identified during the workshop. A draft implementation plan will also be developed with the roles and responsibilities of project partners clearly indicated. Following the workshop the strategy will be validated by PAEPARD stakeholders through an online process. A working group will be established to guide this process and we look forward to your participation in this group.

This activity is divided into two subactivities :
- 3.2.1 Workshop for developping and maintain a communication and an advocacy strategy (Led by NRI)
After this workshop, some actions were launched to build a C&A strategy document. A specific action card (3.2.1. C&A strategy document building) was filled to described Year5 and Year6 achievements.
- 3.2.2 Developing and setting a SEO (search engine optimization) strategy to make Paepard websites better referenced (Led by CIRAD and performed during the 4 years)

This activity takes into account two parts of monitoring effectiveness : on one side the tools uses and on an other side the project results
This main activity is divided in two subactivities :
- Sub-activity 3.4.1 - Defining and developing and setting up monitoring mechanisms for PAEPARD information and communication systems (Websites, D-groups, Blog)
Ensure that all the PAEPARD tools are used. If this is not the case, find the reason why and propose solutions.
- Sub-activity 3.4.2 - Assist the co-managers in extracting, aggregating and exploiting the follow up information

See below the 7 steps:
- 1 Review and agree the purpose and objectives
- 2. Review and agree the target audience and list them in order of importance
- 3. Identify the messages that we want to disseminate to each category of stakeholder (Note: this will be 'work in progress throughout the project)
- 4. Identify the communication channels best suited to the target audiences and type of message
- 5. Identify some specific communication and advocacy events and activities
- 6. Agree a set of indicators to monitor progress and a plan for assessing the progress being made
- 7. Review and finalise the document

First step is achieved: internet webpages are tagged with specific keywords to be better ranked.
Deliverable :
the PAEPARD website (paepard.org) is the first result find by google when searching “paepard” criteria
Overview :
Supporting the C&A strategy by:
● Making PAEPARD communication tools referenced into the greater number of partner web sites
● Ensuring that EC communication specification rules are well taking into account in PAEPARD electronic products (from the findings of the C&A strategy document)
Sub action plan :
- Identify partners who can support PAEPARD (directs partners, scientific institutions, Research centers, Networks, …)
- Prepare a logo, a mini-text and a link ready to include into partners Websites
- Contact webmasters of identified targets (in 1) for including in their website a link to PAEPARD communication tools
