Gathering the recent or most important documents produced by PAEPARD and make them accessible by level of confidentiality and by several criteria and key words (complementary with our D-group library which stores all the official documents but with restricted access and in chronological sorting).
Documents can be read by Paepard members through the internal communication tool but also by anyone interested through the website (If granted obviously)
This activity didn't exist before Year 6
Sub action plan :
- Define with the managers the set of documents that must be available
- Fill in the existing library of the communication tool with this set of documents
- Make links with Dgroups Library to add complementary documents, blog post or discussions fora to this set
Follow up :
March 2015 : a set of about 100 main documents produced by PEAPARD are now stored and described in the Library. Managers have now to decide what next set of documents must be entered in the library.

1 - In the list of African and European RAD information system built in PAEPARD II, identifying and selecting some RELEVANT contents which are relative to the PAEPARD federated themes.

Sub action plan :
Extracting useful information from European and African ARD information systems for making it accessible to the PAEPARD community sorting by federated themes.
1 – Add these identified resources in the PAEPARD information portal (described into 3.5.3)
2 – Analyze the Diaspora database to decide if:
- it will be hosted by PAEPARD website
- it will be queried through PAEPARD website
- it will complete the PAEPARD institution profiles database

Definition of synthetic information products relevant to follow up the project is postponed in early Y6 because they depend of the C&A strategy (beeing establishing)
Results
Even there is not yet final information product to follow up the project, this time was spent to define with the managers what is the minimal information they need to follow up the project.

Databases Directory, Agenda, Library, Action cards, Consortia, CRF, IF which are included into the new internal communication tools

Use results of 3.4.2 what are the information needs, deliverables, frequency and editing form of follow up information (synthesis, reports, Newsletter)) to develop and propose a new feature (added into the existing communication tool) to extract data and to build expected documents and indicators.

Define with the managers what is the relevant and mandatory information needed to follow up the Consortia, CRF and IF.
Set up a CRF and IF database into the internal communication tool
Improve the framework of the Consortia database

March 2015 : A specific training session to the communication tool for managers, financial officer and WP's leaders is planned in May at ACCRA. One of the expected findings of this training session is the definition of the deliverables needs by management eam to follow up the project.

Sub action plan :
Redesign the partners database according to the capitalization workshop recommendations. Set up this database. Ensure with WP-partnerships that this database will be filled in (E/A stakeholders, ULP and Consortia participants, Dgroups subscribers. Promote the use of this database at different levels of the project. Update and maintain up-to-date contents on the PAEPARD website Valorize the partner database according to the capitalization workshop recommendations
Not achieved :
Promoting the filling and the uses of this database must be planned in Y6
Results :
A new access to the partners database into the PAEPARD internet website allowed the subscription of 100 more institutions or companies.
Delivrables :
311 complete contacts and addresses of partners institution or companies are stored and displayed in the Paepard website
Sub action plan :
Update and maintain up-to-date contents on the PAEPARD website
Valorize the partners database into the new context of communication tools
Set up an e-learning platform on the PAEPARD website (asked by WP-Capacities and included into its workplan)
Follow up :
18th of February : meeting with Richard Hawkins, Sylvain Dardel and Remi Kahana where one of the agenda bullet point is about the definition of the e-platform needs aked by ICRA in the Year 6 workplan. I'm still wainting for a feed back !

This is the technical core activity of WP-C&A. All the actions covered by this activity aim to design, develop, improve and feed all the communication and information tools made from the PAEPARD project.
This main activity is divided into the following sub-activities :
Sub-activity 3.8.1 - Improving existing communication and information tools
Desinging, developping and improving all long the project communication and information tools including the PEARPARD websites, information system and shared work tools
Sub-activity 3.8.2 - Set up specific tools for monitoring and managing the project
This is a specific part of technical activity dedicated to the project follow up. This sub activity aims to support management team in following the project activities and to update EC by providing the mandatory deliverables
Sub-activity 3.8.3 - Improve and maintain PAEPARD information system
This sub activity involves feeding the tool with information.

This software aims to analyse web information (text mining) on ARD and to extraxt relevant article matching with Paepard issues and to dissiminate them to the Paepard community.
This is a first step to move Paepard information system to a KM system.
